Import Tracker

Know what every imported product really costs you, landed in Singapore

Import Tracker is an online workspace for sellers who buy stock overseas, from 1688, Taobao or Pinduoduo. Record your purchase orders, follow each parcel through the overseas warehouse, group parcels into shipments, and get the landed cost per unit in SGD, worked out from the exchange rate you actually paid.

Access is by invitation. Message us on WhatsApp and we’ll set up your account.

The problem

Importing is easy to start and hard to keep track of

Once you’re buying from several suppliers every week, spreadsheets and chat history stop being enough. These are the problems Import Tracker solves.

“Which orders haven’t arrived yet?”

Orders are spread across 1688, Taobao and Pinduoduo, each with its own tracking numbers.

Fix: every order and its parcels in one list, with a status for each step from ordered to received.

“What’s sitting in the overseas warehouse?”

Parcels arrive at your forwarder’s warehouse at different times, and it’s hard to know what is ready to ship.

Fix: parcels are matched to their orders by tracking number, so you can see what has arrived and what is still missing.

“How much did this shipment really cost?”

One shipment carries parcels from many orders, and the freight bill comes as one figure.

Fix: group parcels into a shipment, enter the freight once, and it is split across every order inside it.

“What exchange rate did I actually pay?”

You top up CNY at different rates over time, so today’s rate doesn’t tell you what an order cost.

Fix: each bank account’s conversions are used oldest first (FIFO), so every order gets the rate of the money that paid for it.

“What’s my landed cost per unit?”

Product price, GST, service fees and freight all add up differently for every item in a mixed order.

Fix: costs are split per line by value and by volume, giving a landed cost per unit in SGD you can price from.

“Did everything I paid for turn up?”

Short shipments and missing parcels are easy to miss when stock arrives in bulk.

Fix: a receiving list to check each parcel off as it arrives, so gaps show up straight away.

How it works

From purchase order to landed cost, in five steps

  1. 1

    Record the order

Add the supplier order with its items, quantities and price in CNY, and which bank account paid for it.

  2. 2

    Track the parcels

Add the supplier’s tracking numbers. Each parcel is linked to its order.

  3. 3

    Build a shipment

Group the parcels your forwarder sends together and enter the freight cost.

  4. 4

    Receive the stock

Check parcels off the receiving list when the shipment reaches Singapore.

  5. 5

    See the landed cost

Every order shows its full cost in SGD and the cost per unit for each item.

How costs are worked out

Every cost is split the way it was actually incurred

When one order holds several products, each cost is shared out between the lines on a fair basis. Fill in each item’s quantity and dimensions for the most accurate split.

Questions

Frequently asked questions

How do I get access to Import Tracker?

Access is by invitation. Message us on WhatsApp and we’ll create an account for your business and email you an invitation link to set your password.

I already have an account. Where do I log in?

Log in at singaporefulfilment.com/app with the email and password you set when you accepted your invitation.

Do I need a WorldFirst account?

No. You can add any bank account and enter your currency conversions and supplier payments by hand, or import them from an Excel file. WorldFirst statement import is there if you use WorldFirst.

How is the exchange rate for each order decided?

Each bank account keeps its own FIFO queue. A payment uses the oldest converted CNY first, so the order’s SGD cost reflects the rate you paid when you converted that money. Each order is paid from one bank account.

What happens if I don’t enter dimensions for every item?

Freight is split by volume, so lines without dimensions can’t take a fair share. The order form warns you when some lines are filled in and others aren’t, so you can complete them before saving.
